ai.io Surveys Privacy Notice

This notice describes how we process your data if you chose to participate in an ai.io survey.

How do we collect, use and store Information you give to us?

User Feedback Surveys

When you complete a User Feedback Survey, we ask you to provide your name, email address, and to confirm whether you are under 13 or aged 13 or over.

We use your name and email address to ensure that you are an eligible Respondent. In the event that an incentive is available (e.g. entry into a prize draw), the same details will be used to contact you with regards to reception of the incentive.

We also ask you some optional demographic questions – these are to help us identify whether we have a fair distribution of respondents, and to identify potential disparities relating to one or more demographic factors.

Reporting an issue

If you decide to report an issue, you can do this by writing to our Support Team at support@ai.io. We will use your name, contact details and any other Information you may provide in the email in order to resolve the issue and track its management.

Your Information will be stored on servers located in the UK or European Economic Area and will be retained for up to seven years in our email system. If we engage a service provider outside the UK or EU/EEA, we will put in place measures approved by the ICO that legally binds it to provide to the same level of data protection as is required in the UK.

Who may we share your Information with?

Your Information will be collected by SurveyMonkey and sent to us for processing.

We share your Information internally between colleagues as necessary to process your feedback and to ensure that there is no discrimination in the collection and processing of feedback, or in the app itself.

It may also be accessed by our IT support team in the event of technical problems, in order to allow them to fix the issue.

If Project 23rd Century is merged with or acquired by a third party, we will share your Information with them so they can continue processing it as described in this notice.

If required by law, we will provide information to government, judicial or law enforcement agencies and, in exceptional circumstances, this could include Information about you.

Why is it lawful for us to use your Information in this way?

The processing of your Information submitted as part of, or accompanying your Response to this Survey is based on your consent, which we collect at the start of the Survey.

Where children under 13 are responding to the Survey, we request that the child’s Parent or Guardian provides their consent to the processing of the child’s Information.

How to exercise your rights or make a complaint

If you would like to exercise your rights, or have concerns about the way your Information is being handled, please contact our Data Protection Officer (DPO) at dpo@ai.io.

We’ll reply straight away and let you know if we need anything else from you.

We have to respond to requests without delay, and no later than a month after receiving them – if we need more time to fulfil your request, we’ll inform you of the delay and the reason for it within a month of receiving your request.

If we take more than a month, or if you are unhappy with our response, you have the right to complain to the Information Commissioner’s Office:https://ico.org.uk/make-a-complaint.

Your Privacy Rights

These are your legal rights and the data protection regulator, the Information Commissioner’s Office (ICO), will help you to enforce them if we slip up.

· Right of access – we will provide you with the Information we hold

· Right to have inaccurate or out of date Information corrected

· Right not to be profiled for marketing purposes – we don’t do this anyway

· Right to prevent processing of your Information in certain circumstances

· Right to have your Information deleted in certain circumstances

· Right to unsubscribe from marketing messages and emails

· If we have asked for your consent, the right to withdraw it at any time

· Right to make a complaint to the ICO (see “Lodging a complaint” below).
